A long-standing wealth management client is seeking a Operations Specialist to join its collaborative team. This individual will play a critical role in delivering an exceptional client experience by supporting advisors and clients across onboarding, account administration, and operational processes.

The Client Service Associate serves as a key operational and service partner to advisors and clients, ensuring accuracy, responsiveness, and efficiency across client accounts and internal processes. The role combines client interaction, custodial operations, reporting support, and administrative coordination within a highly team-oriented environment.
 

Responsibilities

  • Support client onboarding, including preparation of contracts and account documentation
  • Establish and maintain client investment accounts with custodians (Schwab Institutional or similar platforms)
  • Prepare and process account paperwork, transfers, and money movements, including rollovers and beneficiary updates
  • Track account activity and ensure timely completion of operational requests
  • Serve as a point of contact for client service needs and operational inquiries
  • Maintain relationships with custodial partners and monitor alerts, communications, and account updates
  • Assist advisors and operations team with resolving account or service-related issues
  • Maintain accuracy of client records within CRM and portfolio management systems
  • Support ongoing operational workflows and special projects as needed
  • Assist with quarterly reporting preparation and review
  • Ensure portfolio and allocation data is updated and coded accurately
  • Review reports for consistency and accuracy prior to advisor distribution
  • Support preparation of portfolio analysis materials
  • Provide general operational and administrative assistance to the broader team
  • Assist with incoming communications and shared team responsibilities
  • Contribute to process improvements and operational efficiency initiatives

Desired Skills and Experience

  • Bachelor’s degree required
  • 3+ years of experience within wealth management, financial services, or investment operations
  • Experience working with custodial platforms such as Schwab Institutional, Fidelity, TD Ameritrade, or similar preferred
  • Familiarity with portfolio reporting or account management systems (Tamarac, PortfolioCenter, AdvisorView, or comparable tools) strongly preferred
  • Strong attention to detail and comfort working with numbers and financial data
  • Excellent written and verbal communication skills with a polished, professional presence
  • Highly organized with the ability to manage multiple priorities simultaneously
  • Team-oriented mindset with a proactive and problem-solving approach
  • Interest in pursuing industry designations (AAMS or similar) is a plus
